1. Introduction
VB Brain ("we," "our," or "us") is an internal business operations platform operated by VisualBoston, Inc. This Privacy Policy explains how we collect, use, and protect information when you use VB Brain (the "Service").
2. Information We Collect
We collect the following types of information:
- Account Information: Name, email address, and profile image provided through our authentication provider.
- Financial Data: When you connect your accounting software, we access invoices, expenses, and account balances. This data is used solely to display financial summaries and forecasts within the Service.
- Banking Data: When you connect a bank account, we use Plaid Inc. to securely access account balances and transaction history to display cash position and transaction records. We access this data in read-only form and do not initiate any payments or money movement. Plaid's handling of your data is governed by the Plaid End User Privacy Policy.
- Calendar and Meeting Data: When you connect calendar and meeting services, we access calendar events, meeting recordings, and transcripts to support project management workflows.
- Usage Data: We collect time entries, project notes, and action items that users create within the Service.
3. How We Use Your Information
We use collected information to:
- Provide and operate the Service
- Display financial dashboards, runway calculations, and cash forecasts
- Sync and display bank transactions and account balances
- Track time, projects, and meetings for internal operations
- Generate weekly status reports
4. Data Storage and Security
Data is stored on secure, access-controlled cloud infrastructure located in the United States. All data is encrypted at rest using industry-standard encryption, and access credentials for connected integrations receive additional encryption before storage. Data in transit is protected over encrypted connections (HTTPS/TLS).
5. Third-Party Integrations
The Service integrates with the following categories of third-party services. Each integration requires explicit user authorization:
- Plaid: Bank account and transaction data
- Accounting software: Invoices, expenses, and account balances
- Calendar, messaging, and meeting services: Scheduling, notifications, and meeting notes
You may disconnect any integration at any time from the Settings page. Upon disconnection, stored OAuth tokens are immediately deleted.
Google user data. When you connect Google Calendar, VB Brain uses the calendar.events scope to read your calendar events (to display your calendar and your team's availability inside the app) and to create, modify, or delete events at your explicit direction when you add or edit events from within VB Brain. We only ever act on your own calendars, and never without an action you take in the app. VB Brain's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. We do not use Google user data for advertising, do not sell or transfer it to third parties, and do not permit humans to read it except with your explicit consent, for security or legal compliance, or where strictly necessary to operate the feature.
6. Data Sharing
We do not sell, rent, or share your data with third parties. Data accessed through integrations is used solely within the Service for the purposes described in this policy.
7. Data Retention
We retain your data for as long as your account is active. You may request deletion of your data by contacting us. Upon account deletion, all associated data including OAuth tokens, time entries, and synced records will be permanently removed.
